Revenue categorisation lets you group your services into meaningful categories (like Sessions, Assessments, Groups, or Fees) so you can see where your revenue is coming from.
Instead of just seeing total revenue, you’ll now be able to:
See how much each type of service contributes to your revenue
Track how different services perform over time
Understand what drives your business at a glance
Before you can use category reporting, you need to map your billable items to categories.
This is a quick one-time setup, with occasional updates when new items are added.
👉 Your goal: Make sure all your billable items are assigned to the correct category.
We list all your billable items (services, fees, etc.)
We suggest categories where possible
You confirm or adjust the category
Once saved, your reports update automatically
Go to:
👉 Configuration → Revenue Categories
You’ll see a list of your billable items, including:
Item name
Code
Revenue
Suggested category (if available)
Current category
By default, you’ll see items that need review (not yet mapped).
Focus on:
High-revenue items first
Items without a category
These have the biggest impact on your reports.
The system will automatically suggest categories for some items based on common patterns.
Examples:
Fees → Non-clinical
ADHD Assessment → Assessment
Therapy Consultation → Sessions
You can:
Accept suggestions individually
Accept multiple suggestions at once
👉 You’re always in control - nothing is applied automatically:
If no suggestion is available:
Select one or more items
Choose a category
Apply the change
You can map items:
One by one
In bulk (recommended for speed)
To speed things up:
Select multiple items
Assign a category in one action
This is especially useful when:
Multiple items belong to the same category
You’re setting up for the first time
Once you’re done:
👉 Click Save Mappings
This will:
Store your selections
Start updating your reports
After saving:
Reports start updating automatically
You’ll see a status indicator while this happens
This usually takes a few minutes
Once complete:
Your Financial dashboard will include category breakdowns
Go back to the Financial dashboard.
You’ll now see:
Revenue split by category
Trends over time
Insights into what drives your revenue
If something looks off:
👉 Go back and adjust your mappings - reports will update again.
New billable items may appear over time.
When this happens:
You’ll see unmapped revenue
A prompt will guide you to map new items
👉 It’s a good idea to check this periodically.
Start with high-revenue items
Use bulk mapping to save time
Don’t worry about getting everything perfect - you can update anytime
Check for unmapped items occasionally
No, you always review and confirm them.
You can update mappings at any time and save again.
No, this only affects reporting.
Mostly once during setup, then occasionally when new items are added.
If you’re unsure how to categorise something, start with the closest match - you can always refine it later.
